Read the Wild Apricot Membership trends report
Learn what the Wild Apricot Membership trends chart and summary table show, and how to check them against the Member summary.
Updated
Wild Apricot has a native Membership trends report. It shows how active membership changes over time for each membership level, and the recurring revenue for each level. This guide explains how to open the report, how to read it, and how to check it against the Member summary.
Open the report
- Hover over Members and select Reports. If you are already in the Members module, select Reports at the top of the screen.
- Open the Trends tab.
- Select Set parameters.
- Choose the membership levels to include.
- Choose a custom date range, or the last 30 days, 3 months, 6 months or 12 months.
The Trends report includes data from July 1, 2020 onward.
Read the chart
The chart shows the relative number of active members for each selected level over the period. Wild Apricot counts these statuses as active:
- Active
- Pending - Renewal
- Pending - Level change
For bundle levels, the chart counts only bundle coordinators. For more about bundles, read report bundle memberships.
The chart is a stacked bar chart by default. Select Chart view: stacked line to change it to a stacked line chart. The chart scale options show the data by day, week, month or year. When you hover over a period, the chart shows the totals for each level at the end of that period. Select Download chart to save the chart as a PNG image for a presentation.
Read the summary table
The summary table shows these columns for each selected level. Levels appear in alphabetical order.
| Column | What it shows |
|---|---|
| Active members - Start | Active members at the start of the period |
| Active members - End | Active members at the end of the period |
| Active members - Diff # and Diff % | The change between start and end, as a number and as a percentage |
| MRR - Start and MRR - End | Monthly recurring revenue from active members at the start and end |
| MRR - Diff # and Diff % | The change in monthly recurring revenue |
Wild Apricot calculates recurring revenue as the number of active members multiplied by the level’s current membership fee. The calculation always uses the current fee, so a fee change during the period does not change the totals. It does not include extra membership costs, refunds, taxes, or revenue from events, donations or store sales. For all revenue sources, run the Income report.
Select Copy table to copy the summary table. Then paste it into a spreadsheet.
Check it against the Member summary
To open the Member summary, hover over Members and select Summary. It shows the current number of members by membership level and membership status.
The Total column is the sum of the Active, Lapsed and Pending columns. Thus, do not compare Total with the active count in the trends report. Compare the trends count with the matching status columns. The Member summary does not include archived contacts or suspended members.
The Member summary also has a Renewal overdue column. It shows members whose renewal date is in the past. These members can have different statuses. For the difference between these states, read lapsed, renewal overdue and suspended.
Use it with an export-based report
The report tool works from one Wild Apricot member export. It shows active members, new members, lapsed members and an estimated renewal outcome rate by month, in charts and in a monthly table. It uses the same three statuses for active membership: Active, Pending - Renewal and Pending - Level change. Its monthly history is estimated from one current snapshot, because the export keeps each member’s current level, current status and latest renewal-date change. The tool does not read invoices or payments.
If you show figures from both sources in one board report, label each figure with its source. Put the estimate note beside the figures from the export. See the metric definitions for how the tool calculates each figure.
