Report bundle and organization memberships

Count people, bundles and paid memberships separately in Wild Apricot, so that one report does not mix three different numbers.

Updated

A Wild Apricot membership bundle is a group of members under one coordinator. The coordinator pays one fee for the whole bundle, and all members in the bundle share one renewal date (bundle membership levels). Before you count, decide whether your report counts people, bundles or paid memberships.

Know how Wild Apricot stores bundles

Each member in a bundle has a separate profile. Wild Apricot invoices only the coordinator. In the member database, each bundle has the name of its coordinator. If you suspend or archive the coordinator, Wild Apricot suspends or archives all members in the bundle.

Wild Apricot stores an organization in one of two ways (organization memberships):

  • As one member record with the Organization and Email fields filled in.
  • As a membership bundle, so that several people from the organization join as a group.

Write down which of your levels use one record and which use bundles.

Define the three measures

  • People: every active member record, coordinators and bundle members included.
  • Bundles: one for each bundle.
  • Paid memberships: one for each individual or organization record, plus one for each bundle, because a bundle pays one fee.

Different reports use different measures. The Wild Apricot membership trends chart counts only bundle coordinators for bundle levels (membership reports). For a bundle level, that number is a count of bundles. For more about that report, see how to read the Membership trends report.

The report tool counts every member row in the export. For a bundle level, its active count is a count of people. The tool does not read the bundle fields, so it does not count bundles or paid memberships. For those numbers, use a spreadsheet.

Export the bundle fields

Go to Members, then Summary, and export with these columns (exporting members):

  • User ID
  • Membership level
  • Membership status
  • Membership enabled
  • Renewal due
  • Member bundle ID or email
  • Member role
  • Archived

Member bundle ID or email holds the user ID or the email address of the bundle administrator (importing contacts and members). Rows with the same value belong to the same bundle. Member role shows which row is the coordinator.

Build a bundle table

In a spreadsheet:

  1. Filter to your bundle levels.
  2. Remove archived and suspended records, unless your report rule includes them.
  3. Make a pivot table with Member bundle ID or email in rows.
  4. Add the count of User ID as values. This gives the number of people in each bundle.
  5. Add Membership level, Membership status and Renewal due from the coordinator row.
  6. Check that each coordinator row is in the correct group. If a coordinator row has no value in Member bundle ID or email, type its User ID or email in your working copy.

Count the rows of the pivot table for the bundle total. For the paid-membership total, add the bundle total to the count of active members who are not in a bundle.

Label every number

Use labels such as “Active people”, “Active bundles” and “Paid memberships”. Do not use “members” for all three. For example, if a bundle adds two people, the people count goes up by two. The bundle count and the paid-membership count do not change.

For renewal reports, count one outcome for each bundle, at the coordinator row. The report tool counts each member row in renewals and lapsed members. Thus, in its estimated renewal outcome rate, one bundle can count once for each person in it. For more about this rate, see how to calculate a membership renewal rate.
